Account & Access

Use the "Forgot password?" link on the login page. A reset link will be sent to your registered email address. If you no longer have access to that email, contact the IT department directly.

M-Board detected a sign-in from a browser or device it does not recognise. To protect your account, a 6-digit verification code was automatically sent to your registered email. Enter the code within 10 minutes. After verifying, you can choose to enrol the device so future sign-ins bypass this step, or skip enrolment to be checked again next time. If you did not initiate the sign-in, change your password immediately and notify IT support.

Both use an email OTP, but they serve different purposes. Two-Factor Authentication (2FA) is a per-account security layer that challenges every sign-in (if enabled). Device verification is triggered specifically by an unrecognised device and only runs until that device is trusted or skipped. If your account has both 2FA enabled and a new device, you complete the 2FA step first — the device-trust prompt appears as an overlay afterwards.

If you see a "Profile Management Unavailable" banner, you are logged in via a QR session. QR sessions are limited-privilege — profile changes, password changes, avatar uploads, and security settings all require a full credential-based session. Log out and sign in with your username and password to regain full access.

Your profile details are visible to members of your organisation within the platform. Sensitive information like your password hash, 2FA tokens, and device session data are never displayed to any user. See our Privacy Policy for full details.

Yes. M-Board is fully responsive and works on all modern mobile browsers. You can also install it as a PWA (Progressive Web App) from your browser for a native-app experience.

Voting & Elections

Yes. Your vote choice is stored separately from your identity using a one-way cryptographic hash — there is no linkable key between your identity and your ballot. Not even administrators or database operators can determine how you voted. This is enforced at the data architecture level, not just by policy. Your Vote Receipt confirms your participation but — for anonymous elections — does not display your choices.

No. Both votes and poll responses are final once submitted. This ensures the integrity of every election and poll. The system records your participation (to prevent double submission) but your choice cannot be modified. Take your time before clicking Submit — on the ballot page, a live counter shows your current selections, and you can adjust freely until you confirm.

Five: Plurality (select up to N candidates, highest count wins), Majority (select exactly 1, must exceed 50%), Approval (tick as many as you like), Ranked Choice / STV (rank candidates in preference order — losers eliminated in rounds), and Cumulative (distribute a fixed points budget across candidates). The ballot page shows which type is in use and gives step-by-step instructions. All five types are also available for polls.

Abstaining (elections) or selecting No Opinion (polls) lets you formally participate without choosing any candidate or option. Your abstention is recorded and counted as participation — it proves you engaged with the election or poll — but it does not add to any candidate's or option's count. These options are only available if the election or poll creator has enabled them.

After every successful vote or poll response, M-Board redirects you to a Receipt page. It shows your unique receipt code (RCP-… for elections, PRC-… for polls), an 8-character verification code, and the date/time of your submission. Save the receipt code privately — you can use it to confirm your vote was counted in the audit log. The receipt page also has Print, PDF, and Share buttons. For anonymous elections, the receipt confirms participation without revealing your choices.

Active elections on your dashboard show a countdown timer. Elections in the Upcoming tab show the scheduled start date. Check the end date on the ballot page to confirm voting is still open.

No. Participation is recorded (eligible members can see who has and has not voted for quorum purposes, if enabled), but vote choices are never disclosed. Anonymous participation is a core guarantee of the platform.

Events

Go to Events from the navigation menu, open the event detail sheet by clicking on the event card, and click Register. The button is only visible when registration is open and you are not yet registered. After registering, a confirmation notification is sent to your inbox. For paid events, the notification includes a payment link — your registration is confirmed only after payment is verified.

The event has reached its maximum attendee capacity. You have been placed in the queue. If a registered attendee cancels before the event starts, you may be automatically promoted from the waitlist. You will receive a notification if your status changes.

Yes, but only before the event starts. Open the event detail sheet and click Cancel Registration. Once an event has started, cancellation is not permitted.

Feedback is only available after the event has ended and only if the organiser has enabled it. For registration-required events, your registration status must be Approved, Registered, or Attended. If the event is public or does not require registration, any logged-in member can submit feedback.

QR Login

QR Login lets you access M-Board on any device — Smart TV, shared computer, kiosk — without typing your password. The device you want to log in on shows a QR code. Your already-logged-in phone or laptop scans it, sets a session duration, and approves. The other device logs in automatically. See the full guide at QR Login.

Every QR code has a matching short code (e.g. A3F8C2) shown below it. If pointing a camera at the screen is impractical, copy the short code and type it into the "Enter Short Code" tab on your approver device instead. Both methods are equally secure.

You choose when approving: 15 min, 30 min, 1 hour (default), 2 hours, 4 hours, 8 hours, 1 day, or a custom duration between 5 minutes and 30 days. The QR code itself expires after 5 minutes if not scanned — click Refresh QR to generate a new one. The session ends automatically at expiry, or you can revoke it early from the Active Devices tab.

If you are currently logged in via a QR session yourself, the scanner is disabled. Only a full credential-based session (username and password on a trusted device) can approve QR logins. This chain-session rule prevents a compromised device from authorising further access. Log out, sign in normally, then return to Scan QR Login.

Files & Agreement

File visibility is controlled by the uploader. Ask them to check their sharing settings and confirm your account is included (under Specific Users or the correct Department). If the file is an external link, the URL itself may have changed or expired.

File access tokens expire after 5 minutes and are single-use. If you waited too long after clicking View/Download, the token expired before use. Return to the File Browser and click View or Download again to generate a fresh token.

The agreement wizard is a one-time, mandatory process that every new member must complete before accessing the platform. It walks you through 7 stages: an introduction, the association's Vision and Mission, Organisational Values, the Terms of Service, Privacy Policy, Cookie Policy, and finally a digital e-signature. Each stage must be individually agreed to, and policy stages require you to scroll to the bottom before the checkbox unlocks. Your completed agreement is permanently recorded and viewable in Profile → Agreement.

Go to Profile → Agreement tab. Your signed record shows all 7 stages with completion timestamps, your e-signature name, and the date/time/IP of signing. If a PDF has been generated, a Download PDF button appears — it is secured with a single-use token so only you can access it.

Proposals & Support

Yes. Use the Propose button on your dashboard (lightbulb icon) to submit a formal proposal. Proposals go through an approval workflow before being actioned by an administrator.

Member Directory

Full profile details — qualifications, all areas of expertise, voting status, and contact information — are only visible to signed-in members. Guests see a public-safe subset. Sign in to your M-Board account to view complete profiles.

Only administrators can create, edit, publish, or archive Member Directory profiles. You cannot self-publish. To request a new profile, a correction to existing information, or removal from the directory, contact the IT department. You can preview your own profile (including unpublished drafts) from Profile → My Public Profile.

Contact details are subject to the visibility setting on your profile, configured by an administrator. There are three options: Hidden (never shown), Available on Request (note only), and Public (shown to signed-in members only — never to unauthenticated visitors). Contact the IT department to change your visibility setting.

Central Search

Press Ctrl + K (or ⌘ K on Mac) from any page, or click the magnifying-glass icon in the navigation bar. On mobile, tap the search icon in the mobile header.

You can search across six scopes: Members, Files, Events, Notes, Polls, and Elections — or choose "Everything" to search all at once. Only content you are permitted to access appears in results.

Search results respect all visibility rules. If a file is restricted to a specific department or set of users, it will not appear unless you are one of them. Contact the file owner or an administrator if you believe you should have access.

Some browser extensions intercept this shortcut. Disable extensions temporarily or click the search icon in the navigation bar to open the overlay directly.
