managing files

The File Browser lets you upload, view, download, and share files with members of the association. Every access is secured with one-time tokens and logged in the audit trail.

Views & Navigation

The toolbar gives you three ways to look at your files — switch freely between them at any time.

  • Folders view — click Folders in the toolbar to browse by file type (Images, Documents, Spreadsheets, PDFs, Videos, Audio, Archives, Links, Others). Double-tap a folder on mobile or double-click on desktop to open it. Click All Files to return.
  • Pinned view — click Pinned in the toolbar to see all currently pinned files (yours and others'). Pinned files are grouped by who pinned them and show a countdown of time remaining.

Search & Filters

The search bar in the toolbar filters results live as you type — matching against file title, filename, and description. The Filters panel (opens from the toolbar) lets you narrow further:

  • Category — filter by the category assigned when the file was uploaded. Long lists collapse with a "N more" button.
  • My vs Shared — show All Files, only My Files (uploaded by you), or only Shared with Me (uploaded by others).
  • File Type — filter by extension (PDF, DOCX, XLSX, image, video, audio, link, etc.).
  • Sort — Newest First, Oldest First, Name A–Z, Name Z–A, or Most Downloaded.

Viewing & Downloading

Every file access goes through a secure one-time token. When you click View or Download, M-Board generates a token valid for 5 minutes, then immediately invalidates it after use. Direct URL access without a token is blocked.

  • View — opens viewable files (PDF, images, video, audio, plain text) directly in the browser in a new tab.
  • Download — saves the file to your device. Files that can't be previewed (Word, Excel, ZIP, etc.) show a Download button instead of View.
  • Open URL — for external link entries, opens the linked URL in a new tab. The access is logged in the audit trail.

Uploading Files

Click Add in the toolbar to open the upload modal. You can upload a file from your device or add an external link (a URL to a resource hosted elsewhere).

Choose typeSelect Upload File (from device) or External Link (paste a URL). External links are validated as properly-formatted URLs.

Fill in detailsTitle (required), description (optional), category (optional), and tags (optional). Tags help with search.

UploadProgress is shown in real time for file uploads. On completion, recipients are automatically notified by email.
Maximum file size is 50 MB. Supported types include PDF, Word, Excel, PowerPoint, images (JPG, PNG, GIF, WebP, SVG), video (MP4, AVI, MOV, WMV), audio (MP3, WAV, OGG), archives (ZIP, RAR, 7Z), and plain text / CSV.

Smart notification deduplication: when you edit a file and change visibility, new recipients get a "shared" email and existing recipients get an "updated" email — no one is sent the same notification twice for the same file.

Pinning Files

Pin a file to surface it at the top of the Pinned view for quick access. Pins are time-limited — you set the duration when pinning.

  • Click the pin icon on any file card to open the pin duration selector. Choose your duration and confirm.
  • Pinned files show a countdown (e.g. "4h left") — they unpin automatically when time expires.
  • Pinned files are grouped by who pinned them. You can only unpin your own pins. Administrators can unpin any pin.
  • A notice in the stats bar shows how many pinned files are currently available — click Go to jump straight to the pinned view.

Editing & Deleting

  • Edit — you can only edit files you uploaded. Click the edit icon on your file card to update the title, description, category, tags, or visibility. Changing visibility triggers the smart notification system.
  • Delete — you can only delete files you uploaded. Deletion is permanent — the file is removed from storage and all access records are cleared.
  • You cannot edit or delete files uploaded by other members. Contact an administrator if a shared file needs to be removed.
